JOB SUMMARY
The Samek Art Gallery is the visual art center of Bucknell University in Lewisburg, PA. This 4500 square feet academic art lab presents original, travelling, and collection exhibitions and public programs that cover the range of art history with an emphasis on contemporary art. The Gallery maintains an active museum collection of over 5,000 objects, including many works installed across the campus. The Gallery is open to the public seven days a week during the academic year, with the exceptions of university recesses and during installation between exhibitions. Find out more at bucknell.edu/samek The Operations Manager is responsible for managing the administrative, outreach, and physical operations of the Samek Art Gallery, including the following gallery functions: budget management, personnel supervision, exhibition installation, exhibition and event calendaring, event management, visitor services, communications and marketing, facilities management, and security. The Operations Manager works alongside the Registrar and at the direction of the gallery Director. In the absence of the gallery director, the Operations Manager is responsible for the day-to-day operation of the galleries. The Operations Manager is responsible for conducting the following duties in accordance with campus, state, and federal policies and laws as well as in keeping with museum and gallery professional practices.
DUTIES AND RESPONSIBILITIES
Responsibilities include, but are not limited to:
BUDGET MANAGEMENT
Plan with the director, develop and manage the gallery's budgets. Manage and reconcile gallery's multiple operating, gift, designated, endowment, and research funds including: initiate and process deposits of revenue, budget expenditure, planning, and analysis reports, expenditure approval and management, reconciliation, and forecasting.
Serve as primary budget signature authority for all gallery funds to include management and approval of expenditures, transfers, expense re-allocations, business/entertainment/travel reporting, purchasing card expenditures and statement reconciliation, revenue deposits, payroll, etc., ensuring all entries are accurate and adhere to Bucknell policy.
Identify and resolve all budgetary issues.
Prepare annual budget close, resolving shortfalls and ensuring accurate tracking of expenses for cost management and program expense review.
Research, prepare and submit capital project requests to the appropriate university officers as necessary.
Plan with the director, and track separate sub-budgets for exhibitions.
PERSONNEL AND VOLUNTEER MANAGEMENT
Train and supervise part-time casual gallery staff and volunteers at varying levels of responsibility.
Hire, train, and supervise student gallery attendants. Prepare and coordinate payroll, timesheets, and work schedules with staff and volunteers.
Select and supervise all outside vendors. Serve as the main liaison to the gallery student group.
Work with Registrar to schedule the gallery labor pool (students, interns, casual staff) to assist with shipping and transporting art on campus and beyond.
EXHIBITION INSTALLATION & DE-INSTALLATION
Act as exhibition project manager to ensure that each installation is completed safely, on time, and within budget.
Duties will include but are not limited to: receiving, unpacking and, packing artworks; hanging and placement of artwork; performing carpentry work such as crating or making pedestals; spackling and painting; handling artworks on loan and permanent collections; lighting exhibitions; matting and framing artworks; and pick-up and delivery of artwork.
Organize, schedule, and supervise a team of exhibition installation assistants, or "Prep Crew", made up of direct supervisees: student employees, volunteers, casual employees, and/or contract laborers. Train Prep Crew in handling of valuable and fragile artworks.
MINIMUM QUALIFICATIONS
Bachelor's degree
Experience handling art and installing exhibitions
Professional experience in an art gallery or museum in additional functional areas detailed in the job description
Excellent organizational and interpersonal skills
Demonstrated ability to work effectively as an independent self-starter Execute the physical requirements of all the work listed above alone when necessary and with assistance when possible.
Ability to lift 30 lbs unaided and 60 lbs with assistance.
Ability to push or pull 90 lbs on wheels, tracks, or skids.
Ability to climb ladders and work at very high heights.
Ability to work in crouched or twisted positions.
Skilled with manual and power tools.
Very good visual acuity.
Valid PA drivers license.
Ability to drive 15' truck.
